Tournament Policies

1. Full Refund Policy

We understand that circumstances may change, and we are committed to providing flexibility to our participants. A full refund will be granted for any team that withdraws from the tournament before the end of the registration period on September 11th, 2026. After this date, refunds will no longer be available.

2. First-Pay, First-Served Policy

Tournament spots will be confirmed on a First-Pay, First-Served basis. Registration alone does not guarantee a spot. Your team’s place in the tournament is secured only once full payment has been received. If a division reaches its proposed capacity, additional teams may be placed on a waitlist. We may expand divisions where there is sufficient demand and court availability.

3. Filipino Eligibility Policy

• Player Responsibility: Players are responsible for selecting the correct eligibility classification on the Roster Form: Full Filipino or Part Filipino. Please ensure you select the option that accurately reflects your eligibility.
• Documentation: Players must be prepared to provide valid identification or supporting documentation proving their eligibility at any time upon request by the tournament committee.
• Enforcement: Failure to disclose a player’s eligibility status, or failure to provide requested documentation, may result in the player’s disqualification and/or the team’s disqualification from the tournament.

4. Transgender Policy

We are committed to fostering an inclusive and welcoming environment for all participants, with a policy that ensures transgender individuals feel respected and supported while maintaining fairness for everyone.

• Eligibility: only transgender players who have undergone full transition, as defined by medical (surgical and hormonal treatments) AND legal standards, are eligible to participate in accordance with their affirmed gender identity. Only one fully-transitioned transgender player per team.
• Documentation: transgender participants may be required to provide supporting documentation, such as legal identification, to verify their eligibility upon request by the organizing committee at any time during the tournament.
• Privacy and Respect: the privacy and confidentiality of transgender players regarding their transition status must be respected. Any inquiries or discussions about a player's gender identity are strictly prohibited.
• Safety and Fair Play: all participants, regardless of gender identity, are expected to adhere to the principles of fair play. Discrimination, harassment, or unsportsmanlike conduct will not be tolerated.
• Feedback Mechanism: participants are encouraged to provide feedback or raise concerns regarding inclusivity and transgender policies to the tournament organizers.

5. Release of Liability and Player's Compliance Agreements

All players must sign the Release of Liability and Player's Compliance agreements digitally to be eligible to play in the tournament. Failure to sign these may result in the team's disqualification.

6. Zero Tolerance for Misconduct

No bad behavior will be tolerated towards anyone, including organizers, volunteers, gym staff, referees, other teams, teammates, or fans. Disrespectful conduct may result in penalties, removal from the tournament, or further consequences at the organizers' discretion.

7. Clean As You Go Policy

To maintain the cleanliness of the venue, all participants and spectators are required to clean up after themselves. Please ensure that trash and personal items are disposed of or taken with you.

The Volleydome Gym Rules

Time

• Doors open at 8:30 AM on both days.
• All games begin at 9:00 AM on both days.
• Teams may warm up on their designated courts from 8:30 AM until the start of their games.

Parking

Carpooling is strongly advised. Parking is allowed only in designated spots (between yellow lines) at the front and back of the building. Parking in unauthorized areas may result in vehicles being towed. We ask all participants to respect the parking rules, as neighboring businesses have warned they will take action if their zones are blocked.

Cleanliness

Please adhere to the Clean As You Go Policy. Keep the venue clean by properly disposing of trash and personal items after use. We appreciate everyone's cooperation in maintaining a clean and safe environment.

General Rules and Reminders

• Lunch Breaks: there will be no official lunch break, so make the most of your game breaks by bringing food and drinks to stay energized. A welcome package will be provided on Day 1 — please make sure to see the organizers when you arrive!
• Roster: each team must have a maximum of 12 players on the official roster. (No ghost players are allowed.)
• Day 2 Eligibility: all players must play on Day 1 to be eligible to play on Day 2.
• Food Vendors: more information will be sent to captains regarding food sellers. This information will also be posted on our social media!

General Day 1 Rules

1. Officiating

Day 1 games are officiated by participating teams (both referee and line judges).

• Each team will be assigned games to officiate. Please check the schedule carefully to avoid missing your officiating responsibilities.
• Failure to officiate your assigned games results in a penalty: on Day 2, your opponent starts with a 10-point advantage in the first set. If a team fails to officiate two games, the penalty applies for both the 1st and 2nd sets.
• Late to officiate: teams must be present and ready to fulfill their officiating responsibilities at their scheduled time. A team arriving 5 minutes or more late without prior notice will also be subject to a Day 2 point penalty. The number of penalty points will be determined at the discretion of the CEVA organizers based on the length and circumstances of the delay, up to the same 10-point penalty applied for a failure to officiate.
• In case of any disputes, teams are encouraged to resolve the issue respectfully. Please remember that referees are volunteers — treat them with kindness and respect. If a resolution cannot be reached, the final decision is made by the tournament organizers.

2. Strict Schedule

Teams must arrive and be ready to play at their scheduled times. A 5-minute grace period is given after the designated start time. Failure to show up within that period results in an automatic forfeit.

3. Unlimited Legal Substitution

• Players can substitute an unlimited number of times, but substitutions must be legal.
• Player B subs in for Player A, and only Player A can sub back in for Player B. No other players can take that substitution slot.

4. Liberos

Teams are allowed 2 liberos per game.

5. Score Confirmation

After each game, team captains must sign the score sheet to confirm that the final score is correctly recorded.

6. Protests

Any in-game protests must be brought to the attention of the organizing committee before moving onto the next point. Once the next point has been initiated (serve has been made), protests about the game's calls will not be considered. The organizing committee's decisions are final and cannot be appealed.

7. Time Out

Teams are allowed one time out per set, each lasting 30 seconds.

General Day 2 Rules

1. Officiating

Day 2 officiating is currently to be confirmed. We are in communication with Volleyball Alberta regarding certified referees, and an official announcement will be made once arrangements have been finalized.

2. Strict Schedule

Teams must arrive and be ready to play at their scheduled times.

3. Score Confirmation

After each game, team captains must sign the score sheet to confirm that the final score is correctly recorded.

4. Protests

All matches officiated by a certified Volleyball Alberta referee are under the authority of the First Referee. The First Referee's decisions regarding playing actions and in-game judgment calls are final and cannot be overturned by the CEVA Organizing Committee. Questions involving tournament rules, format, scheduling, player eligibility, administrative errors, or other matters outside the referee's authority may be brought to the CEVA Organizing Committee. Any eligible concern regarding the application or interpretation of a rule must be raised immediately and before the next rally is authorized. Once play has resumed, the matter will no longer be considered.

5. Time Out

Teams are allowed one time out per set, each lasting 30 seconds.
